Free Tutoring Invoice Template
Tutors usually invoice parents or students rather than businesses, so the invoice should be simple and easy to read, while still listing every lesson. This template works for private tutors, music teachers, language teachers and online coaches.
Typical line items
- Lessons: number of lessons × rate, with dates (e.g. "Maths, 60 min – 4 lessons: 3, 10, 17, 24 Oct")
- Lesson package (e.g. 10 lessons, paid upfront)
- Exam preparation or mock exam marking
- Materials or books
- Late cancellation fee
Who to bill
For students under 18, address the invoice to the parent or guardian and put the student's name in the description, for example "Lessons for Emma (Year 9)".
Prepaid packages
Many tutors sell blocks of lessons paid in advance. Invoice the package when it is bought and note how many lessons it covers and how long it is valid. This improves your cash flow and reduces last-minute cancellations.
VAT and tax
Private tuition is VAT-exempt in some countries under certain conditions; in the UK, for example, this applies to individual tutors teaching subjects normally taught in schools or universities. Check the rules where you work, and keep copies of all invoices for your tax return.
FAQ
Should I invoice per lesson or per month?
Monthly invoicing with all lesson dates listed is easiest for most families. For new students, per-lesson or prepaid packages lower the risk of non-payment.
How do I handle missed lessons?
State your cancellation policy upfront and add a line for late cancellations when it applies, e.g. 'Late cancellation, 12 Oct – 50%'.
Can I invoice in a different currency for online students abroad?
Yes. Agree the currency first and choose it in the generator, for example USD, GBP or EUR.
