Billowly

Free Canadian Invoice Template (GST/HST)

Canadian invoices need different details depending on the sale amount, because the CRA sets out what a buyer needs to claim input tax credits. Billowly supports CAD and lets you set the GST or HST rate for your province.

What the CRA expects on an invoice

Sale amountInformation required
Under $30Your business name, the invoice date, total amount paid
$30 to $149.99All of the above, plus your GST/HST registration number and the GST/HST charged (or a note that the total includes it)
$150 or moreAll of the above, plus the buyer's name, a description of the supply and the terms of payment

Which rate to charge

GST is 5% across Canada. Ontario and the Atlantic provinces use a harmonized sales tax (HST) instead, for example 13% in Ontario. Quebec charges GST plus its own QST, administered by Revenu Québec. The rate generally depends on where the supply is made, so check the CRA's place-of-supply rules when you work for clients in other provinces.

Small suppliers

If your taxable revenue stays at or below $30,000 over four consecutive calendar quarters, you are a small supplier and don't have to register. In that case, do not charge GST/HST.

Using the template

  1. Set the currency to CAD.
  2. Add your business number with the RT suffix (for example 123456789 RT0001) to your details.
  3. Enter the GST or HST rate that applies.
  4. Add payment terms and your e-Transfer or bank details, then download the PDF.

FAQ

Do I need a GST/HST number on my invoice?

Yes, if you are registered and the sale is $30 or more. Small suppliers that are not registered should not charge GST/HST or show a number.

Can I charge GST and PST on the same invoice?

Yes. In provinces with a separate provincial sales tax, show each tax separately. Add the PST as a note or a separate line, as Billowly applies one tax rate per invoice.

What currency should I invoice US clients in?

Either works. Agree it upfront, state the currency clearly and choose USD or CAD in the generator.
